Terms and Conditions (T&C)

These Terms and Conditions govern the relationship between Luxvel Travel Private Limited (“Luxvel,” “we,” “us,” “our”) and the clients (“you,” “your,” “traveller”) who book travel services with us. By making a booking with Luxvel, you agree to be bound by the terms and conditions outlined below. Please read these carefully before proceeding with your booking.

1. The Booking

Your contract is with Luxvel Travel Private Limited, registered in Coimbatore, India. A contract between us is established once we confirm your tour booking and receive your signed booking form along with the necessary deposit.

  • All booking forms must be fully completed and signed by the client or a representative. By signing, you acknowledge that you and others in your group agree to these Terms and Conditions.

2. Deposit

Upon completing the signed booking form, a non-refundable deposit of 50% of the total tour cost per person must be paid to secure your booking. The deposit is required to confirm your participation in the selected tour.

3. Payment Terms

  • Advance Payment: A 50% advance payment is required to hold the booking on a confirmed basis. The remaining balance must be paid at least 7 days prior to your departure date.
  • In certain cases, such as special train journeys or hotel bookings during peak seasons (e.g., Christmas, New Year), Luxvel reserves the right to request full payment in advance.
  • The amount payable for your booking may vary based on the nature of the services, and Luxvel reserves the right to determine the advance payment required for each booking.

4. Cancellation and Refund Policy

  • All cancellations must be made in writing to Luxvel at least 30 days prior to the client’s arrival or the start of the tour. The following cancellation charges apply:
    • 30 days or more before the tour: 10% of the total tour cost
    • 15-29 days before the tour: 25% of the total tour cost
    • 7-14 days before the tour: 50% of the total tour cost
    • Less than 7 days or no show: 100% of the total tour cost (no refund)

5. Liability

  • Luxvel does not own or control the hotels, transportation, or other services provided in the tour package. As a tour operator, we are not liable for any issues beyond our control, such as:
    • Failures or negligence of third-party suppliers.
    • Situations attributable to the traveller or any unforeseen circumstances beyond the control of Luxvel.
    • Natural disasters, government actions, war, civil unrest, or other force majeure events.
  • While Luxvel takes all reasonable steps to ensure that the services meet acceptable standards, we do not accept liability for events beyond our control.

6. Complaints

  • Should you have any issues or complaints during your tour, you must immediately notify your tour manager, who will do everything possible to resolve the matter.
  • If the complaint is not resolved satisfactorily during the tour, you must notify Luxvel in writing within 28 days of the tour’s completion. Failure to do so within this timeframe may impact the investigation and outcome of your complaint.

7. Passports & Visas

  • All travellers (except citizens of Nepal and Bhutan) require a valid passport (with at least 6 months of validity remaining) and a valid visa to enter India.
  • Processing and obtaining a passport or visa is the responsibility of the traveller and is not included in the tour cost.

8. Early Check-In / Late Check-Out

Standard check-in and check-out times in most hotels are 12:00 PM IST. Early check-in or late check-out requests are subject to availability and hotel policies. These additional costs are not included in the tour package and are payable by the client.

9. Extra Use of Vehicles

The cost of vehicles (cars, coaches) included in the tour does not cover any additional usage beyond the agreed-upon transfers and sightseeing tours outlined in the itinerary. Any extra usage of vehicles may incur additional charges.

10. Itinerary Amendments

Once the tour has commenced, the itinerary will proceed as per the finalised schedule. However, Luxvel reserves the right to amend all or parts of the itinerary in case of unforeseen circumstances or events that may impact the safety and well-being of travellers.

11. Surcharge

The price of your travel arrangement is subject to surcharges due to changes in fuel costs, taxes, or airfare. Luxvel will absorb up to a 2% increase in these costs, but any additional increases above 2% will be passed on to the traveller.

12. Our Liability

  • Luxvel accepts liability for services directly under our control, including any negligence by our employees. However, we will not be liable for:
    • Any death, injury, illness, loss, or damage caused by events beyond our control, including those attributable to third-party service providers.
    • Acts of omission by independent contractors (e.g., hotels, transportation providers).
    • Delays, missed flights, or other issues caused by natural disasters, strikes, industrial disputes, terrorist activities, or extreme weather.

13. Force Majeure

Luxvel is not liable for any delays, cancellations, or disruptions due to circumstances beyond our control, including but not limited to natural disasters, government restrictions, strikes, or pandemics.

14. Jurisdiction and Legal Disputes

Any disputes or legal issues between Luxvel Travel Private Limited and its clients will be governed by the laws of India and will be subject to the exclusive jurisdiction of the courts of Coimbatore, India.

By booking with Luxvel Travel Private Limited, you acknowledge that you have read, understood, and agreed to the above Terms and Conditions.
